Privacy Policy

This Privacy Policy explains how Nika Scalp & Skin Ritual LLC, a Florida limited liability company (“NIKA,” “we,” “us,” or “our”), collects, uses, discloses, and protects personal information in connection with our website, NIKA Head Spa Certification, digital materials, assessments, certificates, live training, and related communications (collectively, the “Services”).

1. Information we collect

We may collect identifiers and contact information such as your name, email address, telephone number, billing address, account credentials, and communication preferences; enrollment, course-progress, assessment, certification, support, and transaction information; and the content of messages you send us.

If you submit coursework, we may receive photographs, videos, scalp images, treatment records, client case studies, or other assessment materials. These materials may reveal health-related or other sensitive information about you or another person. You may submit identifiable client information only when you have obtained the client’s written consent or another valid legal authorization and when the submission is permitted by your professional obligations and applicable law.

When you use our website or learning services, we and our providers may automatically receive device and usage information such as IP address, browser and device type, pages viewed, referring source, approximate location, and interactions with our Services through cookies and similar technologies.

We do not receive or store your complete payment-card number. Payment information is collected and processed by the payment provider you select.

2. How we use information

We use personal information to create and administer accounts; process enrollment and payments; deliver course access, support, assessments, and certificates; communicate about the Services; maintain safety and security; prevent fraud and misuse; comply with legal, tax, accounting, and regulatory duties; enforce our agreements; and protect our rights and those of others.

We may also use information to understand and improve our website and Services and, where permitted, to measure and personalize advertising. We send marketing emails only when permitted by law and you may unsubscribe at any time. Transactional and course-related messages necessary to provide your purchase are not marketing messages.

3. Legal bases for EU and UK users

Where European or UK data-protection law applies, we process information as necessary to perform a contract with you, comply with legal obligations, pursue legitimate interests such as operating and securing our Services, or based on your consent. Where processing relies on consent, you may withdraw it at any time without affecting earlier lawful processing.

4. Cookies and privacy choices

Necessary cookies and similar technologies support functions such as security, network delivery, account access, and remembering your privacy selection. We may also use optional analytics and advertising technologies, including Google Analytics and Meta Pixel, to measure visits, understand engagement, and evaluate or personalize advertising.

Where consent is required, optional analytics and advertising technologies should not be activated unless you select “Accept all.” Selecting “Reject nonessential” records a necessary-only preference. You can change that selection at any time.

You may also restrict cookies through your browser. Blocking necessary technologies may affect website or account functions. Global Privacy Control and other legally recognized opt-out preference signals will be honored where required by applicable law.

5. How we disclose information

We may disclose personal information to providers that help us operate the Services, including Thinkific for course delivery; Stripe, PayPal, and Klarna for payments; Mailchimp for email communications; Formspree for contact-form submissions; and Google Analytics and Meta for analytics and advertising, when enabled. These companies process information under their own terms and privacy practices and may act as our service providers, processors, or independent businesses depending on the service.

We may also disclose information to professional advisers; to government, regulatory, or law-enforcement authorities when required; to protect rights, safety, and security; or in connection with a merger, financing, acquisition, reorganization, bankruptcy, or sale of all or part of our business.

6. Sale and sharing of personal information

We do not sell personal information for money. If advertising technologies such as Meta Pixel or certain Google services are enabled, their receipt of website activity may be considered “sharing” for cross-context behavioral advertising under California law. Where applicable, you may opt out by choosing “Reject nonessential,” reopening Cookie preferences, using a recognized browser opt-out signal, or emailing us.

7. International transfers

NIKA is based in the United States, and our providers may process information in the United States and other countries whose privacy laws may differ from those where you live. Where required, we use appropriate safeguards for international transfers.

8. How long we retain information

We generally retain account and course-progress information for the purchaser’s lifetime to provide lifetime course access. Payment, tax, and transaction records are generally retained for approximately seven years. Marketing contact information is retained until you unsubscribe; we may retain a limited suppression record afterward so we can respect your choice.

Assessment work, photos, videos, scalp images, and case studies are retained only as reasonably needed for grading, certification, support, disputes, and legal obligations. Privacy-request records are retained as reasonably needed to document compliance. We may keep information longer when required by law, to resolve disputes, protect safety, prevent fraud, or enforce agreements, and may delete or anonymize it when it is no longer needed.

9. Security

We use reasonable administrative, technical, and organizational safeguards designed to protect personal information. No internet transmission or storage system is completely secure, so we cannot guarantee absolute security. You are responsible for keeping your account credentials confidential.

10. Your privacy rights

Depending on where you live, you may have rights to request access to, correction of, deletion of, or a portable copy of your personal information; object to or restrict certain processing; withdraw consent; opt out of certain targeted advertising or sharing; or appeal a decision concerning a request. California residents may also have rights to know categories and specific pieces of information collected, correct inaccurate information, delete information, opt out of sale or sharing, limit certain uses of sensitive personal information, and receive equal service without discrimination for exercising privacy rights.

To exercise a right, email nika@headspacertification.com. Please describe your request and the email associated with your account. We may take reasonable steps to verify your identity and authority. An authorized agent may submit a request where permitted by law. Rights are subject to legal exceptions, and we will respond within the period required by applicable law.

11. Marketing communications

You may stop marketing emails by using the unsubscribe link in any marketing message or contacting us. We may continue sending non-promotional messages related to your account, purchase, course access, safety, or legal notices.

12. Children

The Services are intended for adults aged 18 or older. We do not knowingly collect personal information from children. If you believe a child has provided personal information, please contact us so we can take appropriate action.

13. Third-party services and links

Our Services may contain links to or integrations with third-party websites and platforms. Their privacy practices are governed by their own notices, and we encourage you to review them.

14. Changes to this Policy

We may update this Privacy Policy to reflect changes in our practices, technology, Services, or legal obligations. The revised Policy will show a new “Last updated” date. We will provide additional notice when required by law.
